Previously, under the Charge Scheme, you were required to submit monthly odometer readings to salary sacrifice mileage through your payslip. This meant that if you didn't provide readings in a month, there would be no salary sacrifice the following.
Now, if you're unable to provide a mileage submission in any given month, your monthly salary sacrifice will be automatically calculated using your Estimated Personal Mileage (EPM). This amount will be processed by your employer each month.
How is Estimated Personal Mileage (EPM) calculated?
Your EPM is based on 75% of the annual mileage allowance stated in your lease agreement. This figure is then divided by 365 to give a daily average.
Example:
- Annual allowance: 10,000 miles
- 75% of 10,000 = 7,500 personal miles
- 7,500 ÷ 365 = approx. 20.5 miles per day
How will I know how much my salary sacrifice will be each month?
You’ll receive two emails every month:
- Confirming your salary sacrifice amount
- Detailing how your Estimated Personal Mileage was calculated
What happens if I submit a mileage reading when my previous salary sacrifice has been calculated on an estimate?
- Your salary sacrifice amount will be adjusted in the following month
- Your Estimated Personal Mileage will be updated
What if my actual mileage is different from the estimate?
- If your actual mileage is lower than the estimate: The following month’s salary sacrifice will be reduced to recover any overpayment.
- If your actual mileage is higher than the estimate: The following month’s salary sacrifice will be increased accordingly.
Can I opt to use actual mileage instead of the estimate?
Absolutely! To ensure your salary sacrifice is based on your actual usage, simply submit your odometer readings every month via your Employee Portal.
What if I don’t provide Mileage Submissions for a while?
If you fail to submit an odometer reading for 6 consecutive months, your Charge Scheme account will be automatically suspended.
