ECS Payroll instructions- Terms and definititions

Every month, The Electric Car Scheme will publish a spreadsheet with payroll instructions to your Employer Portal. This article lists the definitions of some of the terms you'll find.

Payroll Month

Payroll month is the month in which a a salary deduction or expense reimbursement should be applied

Calendar Month

Calendar month is the month in which a charge was incurred by the company (eg. lessor invoicing or insurance)

Total cost of lease + extras

These are all the costs associated with the car only, that the company will be charged. As well as the lease or subscription costs, it may include the cost of  insurance, maintenance, chargers and broker fees.

This does not include the ECS Fee.

Expense Reimbursement (Variable)

This is the amount you need to reimburse your employees expenses with a net salary addition. It will vary month to month. Examples include The Charge Scheme mileage reimbursement.

Net Salary Deduction (Variable)

These are the amounts that need to be deducted from an employees net salary. These includes items such as fines e.g. parking charge notices and excess mileage, as they cannot be salary sacrificed.

Gross Salary Sacrifice Change

We indicate when an employee's gross salary sacrifice amount has changed from the previous month's payroll instruction.
