I've ordered my lease car. What happens next?

Congratulations, you've done it! After scanning the market for the best deal with your dedicated EV specialist, your order is now confirmed.

It's at this stage your EV specialist will hand you over to the operations team and one of our operations specialists will be assigned to action the following on your order:

Getting the lease documents signed by your employer

Some lease companies will send this documentation directly to your employer (Arval and Leaseplan) and some leasing companies will send this through to us to forward on to your employer (Lex, ALD, Novuna and Alphabet). Your assigned operations specialist will monitor this process ensuring signage is completed in a timely way.

Keeping you updated on your delivery

Your operations specialist will send you bi-weekly email updates regarding the expected delivery timeframe of you vehicle. At this stage it is important to highlight, ECS isn't the car manufacturer nor the dealer. The delivery estimates you initially receive and the regular updates we send bi-weekly hold information we receive directly from the broker and/or the dealer themselves. 

Even if there has been no change to your delivery timeframe/ date we will still send you an update on the status of your delivery timeframe/date. 

The EV industry is an incredibly busy one, which is why we love it! At ECS, we sit in a line of other parties involved in the process of ensuring your car is delivered to you in the most efficient and timely way possible. However some orders may experience delays. This can be down to a number of reasons:

  1. Delays with the manufacturer
  2. Delays with transportation to the dealership
  3. Delays due to technical faults

Whilst these are rare, here at ECS we want our customers to be aware this can happen and although the control of the delivery of the car lies with the manufacturer and/or dealer, we recognise our responsibility to inform our customers of any delays as soon as possible and work towards building clarity around the delivery and, if needed source an interim solution.

Arranging Insurance (should insurance be included in your order)

Your company will have previously confirmed to us if it's mandatory/ not mandatory for their employee's to be insured with fleet insurance provider Lloyd Latchford.

If that's the case, your operations specialist will liaise with Lloyd Latchford to confirm your set up with insurance from the day your receive the car. 

It's important to note if your company hasn't got fleet insurance in place, you will need source insurance separately from another provider.

Booking your charger installation

If you have opted to include a charger with your order your operations specialist will be responsible for liaising with our charger installation partner Smart Home Charge to get your installation booked in. 

As your charger is included in the salary sacrifice amount we will arrange for the installation to take place as close to your delivery date as possible. It's important to note this may mean your installation takes place a few days before or after you receive your car.

Once Smart Home Charge have been notified of the installation, they will reach out to you directly to arrange a convenient time to conduct a short inspection of your property in preparation for the installation.

Confirming your delivery date 

Once our broker partner has confirmed delivery date options, your operations specialist will reach out with the good news and help you select a delivery date that suits you best and then confirm this date with the dealer.

Sending your confirmed Schedule of Salary Sacrifice

Once your delivery date has been locked in. A member of the operations team will be responsible for sending you, and your scheme do ordinator, your confirmed Schedule of Salary Sacrifice. This document will be an updated version of the provisional one you received at the time of order. This is updated to reflect the true date of delivery instead of the estimated one. 

You will also be given a delivery checklist to help on delivery day.

Checking in on delivery day

Woohoo its delivery day! Believe me, we will be almost as excited as you are for you to receive your EV. One of the operations team will call you on the day to check all went smoothly and to see if they can support with answering any questions you may have, put a voice to the team and ensure we are here to support with any queries you may have moving forward.
